Internal enrollment teams were coordinating benefits meetings through Microsoft Calendar — a general-purpose tool that was never built for this workflow. There were no confirmations, no notifications, and no way to prevent conflicts before they happened. What should have been a straightforward scheduling process was creating miscommunication between employees and insurance providers at a consistent, operational scale.
